Managing your demand inventory effectively ensures efficiency, accuracy, and better results for your firm. One important feature that supports this process is the ability to archive demands. But what does archiving a demand really mean, and when should you use it?

What Does Archiving a Demand Mean?

Archiving is designed for demands created in error. Think of it as a way to remove accidental or duplicate entries from your inventory. When you archive a demand, you’re also requesting a credit or refund for that item.

In short: if a demand was never useful and should not remain in your system, archiving is the right step.

“Archiving is your safeguard for removing accidental or duplicate demands while keeping your billing fair and accurate.”

When Should You Archive?

You should archive a demand if:

  • You created a demand by accident.
  • You have a duplicate demand.
  • Coverage or liability was denied before you sent the demand, meaning you will not use it or rely on Precedent data.

These scenarios keep your inventory clean and ensure you’re only billed for demands that matter.

When Should You Not Archive?

Archiving is not the right step if you received value from the demand—even partially. For example:

  • If you downloaded the demand and used it outside the system, do not archive it. Instead, notify Precedent so it can be marked as not-deliverable.
  • If you simply need a different template, use the switch template functionality rather than archiving and starting over.
  • If demands need to be directed to outside counsel instead of an insurance carrier, Precedent can create a new template for you—no need to archive.
“Proper archiving keeps your inventory clean, your workflows efficient, and ensures you only pay for what you use.”

Why It Matters

Archiving correctly helps:

  • Keep your inventory accurate and current.
  • Ensure you’re only charged for demands that provide value.
  • Streamline workflows by eliminating clutter.

If you ever have questions about whether a demand should be archived, our team is here to assist immediately.

Takeaway: Archive only those demands created in error—never ones that provided utility. This ensures your inventory stays accurate, your billing stays fair, and your team stays efficient.
